14th committee meeting 20-08-25
Meeting was called to establish the ground rules moving forward relating to members and non members after subscription rises this year

Membership price increase and the possible decline of the Wensum memberships may have an affect on our events.
45 members have been lost from a membership of 140 in the past 3 years
18 members have not renewed in the past year of which the committee knows 2, these were previous active members but left for health reasons.
We have 128 members today so the loss could be just a progressive decline due to the members demographic.
John Elliot’s sent in his opinions on the agenda and this was read to the committee
It was agreed by the committee that
- non-members would be allowed to stay on the WhatsApp group to continue socialising. The TR register’s view of the Wensum WhatsApp group is; its Tony’s WhatsApp and not the Registers so they have no say in what is done on it.
- Non members will be removed from the email list
- All committee members must be a member
- To prevent and awkwardness between members and non-members we should try to arrange events with no number restrictions.
- All National events will be arranged through the TR Register
- Christmas meal. As discussed in the AGM we will be looking into two sittings first at 1:00 and hopefully the second with a crossover period to socialise and draw the raffle. Tony will follow this up with Anne. A reduced number will be recommended as it was too cramped last year, hopefully they can accommodate us all.
- Most events will still be on a first come first serve basis but the committee may have to make difficult decisions on restricted number events based on memberships.
Some perspective on the club membership price rises is that; if you attend the international meeting and the NEC classic car events, due to the discount, your membership will be cheaper than last year as the club is giving more discount on the events.
Just remember if a run is organised non-members may not be covered on their insurance.
Graham Andrews left the meeting at 14:45 due to other business
We will look at the cost of a branded events shelter to protect the group from the different weathers while attending events along with an additional flag.
Money in the Wensum bank account and raised money from raffles, along with the TR Register allowance can help with this.
All Committee decisions need to be upheld and carried forward unless the majority of members wish otherwise. A vote could be appropriate on the issue or obviously new committee members can be elected.
Sheep CRM Database
As Tony was the only member to attend the Training sessions on the new system there is a gap for an IT experience person to help the committee. They will look to improve its image, working on the new system and therefore our website, for our members to view. If anyone would like to fill this void would they speak to a committee member.
Mark will look into the difficulty of operation and see if the office can help with this.
Anne Hill will not be involved in the new format but will continue to work with the WhatsApp group and Google calendar.
A twelve page document from the Register was sent out to the committee members to digest.
Mark winter has tested the new system, but this is not visible and he will chase this up with the TR Register office. External viewing of the TR Register Wensum page has become an issue.
Mark Winter is not the first point of call for any communication from the TR Register due to the Wensum Email address taking priority, he will chase up incorrect information on the TR Register Website.
A Membership Application form was sent out to the Wensum group from the TR Register to try and promote the club. Mark will see if he can work out a simpler method of sharing a link , but if not Jon has kindly said he will print out some copies for potential new members.
Theme nights for the winter meetings were discussed including
30min to 60min Question and answer sessions on technical items including practical demonstrations every other month. A possible insight into the farming community was another subject suggested.
We will discuss and set out a plan.
Bob Cornwell is the new Area Co-Ordinator and although living in a different area has joined the Wensum group
National and international Events
These events are to be put on the Google calendar In a different colour and a link to the TR Register website.
10 Wensum members will be attending the Laon classic 2025 if others wish to attend contact Scenic Car Tours for information. The Jersey Guernsey trip postponed.

Outstanding issues from the AGM
Go-Pro and Walkie-talkie tests will be completed by Mark after Iain hands them over at Whitwell.
All Committee member will forward a suitable photo to Mark to be added to the new system and website, this will identify them to new and existing members of the Wensum group.
